Executive Assistant to Top-Producing Real Estate Team – In-Office Only (No Remote Consideration) Are you the kind of person who can anticipate needs before they're spoken? We're hiring an experienced Real Estate Executive Assistant to support the daily operations of our high-performing real estate brokerage. This is a hands-on, full-time, in-office role, not virtual. We're looking for someone who has walked this walk before; real estate admin experience is a must. You’ll be working directly with a top-producing agent and leadership team, ensuring that transactions, listings, marketing, and client communications are flawlessly executed. What You'll Be Doing: • Transaction Management: Coordinate contracts from acceptance to close. Keep timelines, documents, and everyone involved on track. • Listing Prep: Handle everything from MLS input to marketing materials to client communication, everything that gets a home live and looking its best. • Client & Lead Support: Engage with leads, track conversations, nurture relationships, and help convert interest into signed contracts. • Marketing & Branding: Support creation and scheduling of email campaigns, social media, newsletters, and property marketing. • Calendar & Admin Management: Keep schedules humming, files organized, tasks prioritized, and the inbox under control. • CRM Oversight: Maintain and update the client database for long-term follow-up and lead nurturing. • Communication: Act as a polished, professional first point of contact for clients; clear communication and excellent grammar are essential. Responsibilities: • Manage the client database to keep information orderly and confidential • Liaise between the supervising broker and clients • Answer phone calls, emails, and other requests and notify broker of necessary details • Execute office management tasks such as systematizing office records, and buying office equipment • Schedule meetings, travel itineraries, and any other relevant appointments for broker • Complete administrative duties, like picking up orders, or other tasks as needed • Pay and input invoices on a regular basis for the broker Qualifications: • Must have a valid Real Estate License • Experience using word processing programs, spreadsheets and Multiple Listing Service • 2-3 years experience as an executive assistant or administrative assistant • Strong interpersonal skills and time management skills • High school diploma or equivalent required • Prior experience in real estate is a bonus About Company: Real estate company servicing the Volusia County area.
